THE DARJI PAVILION – HIRING TERMS & CONDITIONS
RESPONSIBILITIES OF THE HIRER
- The hirer shall endeavour to keep the accommodation clean and tidy at all times and shall be responsible for cleaning all the hired hall, kitchen etc, and clearing any accumulated rubbish from the premises within the hired period.
- It shall be the responsibility of the hirer to satisfy himself that the accommodation hired is all in respect of the purpose for which it is hired.
- The premises shall be only used for the purposes and between the hours specified on the hall hire agreement. The premises shall not be used for any illegal or unlawful activities.
- No intoxicants shall be sold on the premises.
- The stage must not be dismantled or altered.
- The throwing of rice, confetti, birdseed or any other like materials is not permitted.
- No alteration or additions to the electrical installation shall be made.
- Beef products cannot be prepared or consumed on the premises.
- All windows and doors are to remain closed during the function.
- Noise levels are monitored during the functions and music must be kept low.
- Patrons are asked to leave quietly and respect local neighbours.
- Hall must be vacated by the closing time and no extra time will be given.
- No smoking allowed in any part of the building or in the toilets.
- Please ask the Caretaker for heating, lighting or for any assistance.
- Any electrical item you bring in must be PAT tested. (Portable Appliance Tested).
- A qualified First Aid appointed person should be present on the premises at all times during the function.
TERMS AND CONDITIONS FOR HIRING THE DARJI PAVILION
- The hiring shall be deemed a license to occupy the premises in the agreement for the booking documents. License shall be personal to the hirer and shall not be assignable or transferable without prior written consent of the Mandal. The Mandal may refuse such consent without giving any reason.
- The Mandal shall be entitled to require the hirer to limit the number of people actually present at the function to that specified in the agreement or the booking documents and to remove any excess thereof. If the hirer does not remove as stated above, then the deposit will be forfeited and the function will be stopped.
- The premises shall not be used for gambling, for the showing of films or for holding any political meeting. No charge for admission to the premises shall be made and premises shall not in any case be open to public admission as such but only to those who are especially invited to the function for which the booking may have been made. No general invitation by means of a public advertisement announcement shall therefore be issued by or on behalf of the hirer.
- The hirer shall ensure that the premises are used in an orderly manner and for the purpose only for which they are expressly hired. It shall be the responsibility of the hirer to pay the Mandal the cost of making any loss or damage caused to the premises or the fixtures, fitting furniture or equipment during or as a result of the hiring. Fair wear and tear accepted.
- The Mandal reserves the right to charge additional costs incurred, due to the negligence of the hirer.
- The hirer shall ensure that no person attending or participation in the function causes any obstructions, annoyance and nuisance or commits any unlawful act on the premises.
- The Mandal shall not be liable for any loss or damages: – To any goods, vehicles, chattels or effects belonging to the hirer or members of their (whether invited guests or gate crasher) nor for any personal injury to or death any such or other person present at the function from or by whatever cause. Nor will the Mandal accept responsibility for any break down, leakage, fire or accident rendering necessary any closure of the premises or a temporary interruption of the function or for any loss, damage, injury, repairs or renewals consequent upon or arising from any such breakdown leakage, fire or accident.
- The Darji Mitra Mandal shall not be liable for the failure of gas, electricity or water supplies.
- Time required for you to prepare and clean and clear the hall is included in the times agreed for the hiring of the hall.
- CLEANING: The cleaning of the premises including the hall, lobbies, and toilets must be completed within the hire period. Any litter- plates, cups, bottles, glasses, tissues, etc. scattered in the car park during the hire period must be removed by the hirer. Tables and chairs must be left in clean condition after use. Furniture – tables, chairs, etc must be systematically stacked in the area taken from. Any costs for cleaning and clearing blockages in the toilets caused by the hirer or their guests will be deducted from the deposit
- INSURANCE: It is the responsibility of the hirer to ensure that individual event liability insurance is in place to cover personal injury, as well as any damages to equipment and items within the premises.
- HEALTH AND SAFETY: All fire exits and safety signs, doors and corridors within the premises must be kept clear of tables, chairs, etc.
- FIRST AID SERVICES: A qualified first aid appointed person should be present on the premises during the duration of the event.
- FIRE ALARM: The hall must be vacated immediately on hearing the alarm and assembly should take place at the far side of the park
- NOISE LEVELS: All music noise is monitored in this hall during function.
- USE OF DECORATION: decoration in the pavilion are permitted with some restriction nails tacks, screws, etc. shall not be driven into any of the wall, and floors, ceiling or fittings and no preparation shall be used for polishing the floors. The organizer must ensure that the decorations are removed by the completion of the function.
- CAR PARKING: There is limited parking available, however there is ample parking nearby. Ensure that you respect the disabled bays and display badges. Vehicles must not be parked in any manner that would obstruct any surrounding residential driveway or any emergency access blocked also keeping the car park exits of the pavilion clear. Control of parking and security of cars is the hirer’s responsibility e.g. any chaos, damage & disorder in the car park is the hirer’s responsibility.
- DEPOSIT**: A refundable deposit of £500.00 (£300 for DMMUK member who must be a member for minimum 30 days before the date of booking) is chargeable and held against cancellation, damages, overrunning of booking times and be liable for the cost of the above,
- The times stated in the hire agreement must be strictly observed. Any short notice extra time or overrunning will be charged at double rate.
- The hirer should at the conclusion of the hiring remove all the refuse and other materials and equipment belonging to the hirer or his party and hand back the premises in a clean and tidy condition to the officials of the association.
- CANCELLATION POLICY: If you wish to cancel your booking, we will retain the whole of your deposit paid. An amount of the hire charge will also be forfeited, depending on how much notice is given.
4 weeks- 25% retained
2 weeks- 50% retained
1 week – 100% retained
Notice – cancellation will be determined when notification in writing is received from the hirer.
- Sale of alcohol to guest is strictly Prohibited and NOT allowed under any condition.
- Placing or hanging of Posters and Banners is prohibited anywhere outside the hall, gates or the perimeter fencing. You are only allowed standalone posters & banners inside the hall.
- Table clothes – available for purchase @ £5.00 each subject to availability, please book in advance.
Please read the following conditions:
- DARJI MITRA MANDAL OF THE UK RESERVES THE RIGHT TO AMEND THE SCALE CHARGES, TERMS AND CONDITIONS AT ANY TIME.
- DARJI MITRA MANDAL OF THE UK HAS THE RIGHT TO REFUSE THE BOOKING AND DISCOUNT AT ANY TIME.
- THE MANAGEMENT OR ANY OTHER LINKED STAFF TO THE PREMISES RESERVE THE UNRESTRICTED RIGHT TO ENTER THE PREMISES AT ALL TIMES FOR THE PROPER SUPERVISION OF THE HIRING AND FOR ANY OTHER PURPOSES THAT IT MAY CONSIDER FIT.
- THE DARJI MITRA MANDAL OF THE UK ACCEPTS NO LIABILITIES WHATSOEVER FOR ANY PERSONAL INJURY TO OR DEATH OF ANY SUCH OR OTHER PERSON PRESENT AT THE FUNCTION FROM OR BY WHATEVER CAUSES. LOSS OR DAMAGES SUFFERED BY ANYONE WHILST USING THE ACCOMMODATION OR THE CAR PARK.
- NOR WILL THE DARJI MITRA MANDAL OF THE UK ACCEPT RESPONSIBILITY FOR ANY BREAKDOWN, LEAKAGE, FIRE OR ACCIDENT RENDERING NECESSARY ANY CLOSURE OF THE PREMISES OR A TEMPORARY INTERRUPTION OF THE FUNCTION OR FOR ANY LOSS, DAMAGE, INJURY, REPAIRS OR RENEWALS CONSEQUENT UPON OR ARISING FROM ANY SUCH BREAKDOWN, LEAKAGE, FIRE OR ACCIDENT.
